Sales Assistant - KSA
Role
Purpose
The Sales Assistant provides administrative and logistical support to the sales team, ensuring efficient operations and smooth execution of sales activities. The role involves handling promotional materials, coordinating travel logistics, managing communications, and assisting with various administrative tasks.
Principle Accountabilities
- Update Sales sheet (Daily/Monthly/Quarterly)
- Entering data on Logix (18 Months forecast, semester Budget)
- Follow on data in Power BI and the BEX tool
- Provide support on other reports requested by the NSM/RSM.
- Provide NSM/RSM Agent stock report (weekly).
Expenses: Solaris / Purchase Request
- Arrange and Review Monthly team business-related expenses.
- Create monthly report on all related expenses of sales team & update it on Solaris.
- Creating and follow on Purchase requests.
- Request and follow up with the local agent for the payments (Internal & External payments).
Support the process of HCPs Engagement
- Provide a support for Sales Team/RSMs on the HCP Engagement Processes
- Support in GCTS implementation
- Help in tracking and initiating the necessary processes: tracking budget utilization, contract approvals, event reporting.
- Create tracking sheet and activities report for the team on all related activities from RTMs, National meetings including activities analysis, budget utilization.
Promotional Material Management
- Receive and distribute promotional materials to the appropriate team members.
- Ensure timely and accurate delivery of materials to support sales initiatives.
- Monitor material stock and destructions and reported to concerned department.
Logistics Coordination
- Arrange all logistics for the Sales Team for business-related trips, including travel bookings, accommodation, and transportation.
- Coordinate healthcare professional (HCP) travel logistics both locally and internationally with the head office in Dubai.
Meeting Coordination
- Book and arrange all planned and approved meetings for the Sales team.
- Ensure all meeting logistics are in place, including venue booking, equipment setup, and attendee communication
Approval Follow-Up
Follow up on all request approvals made by the team with the head office and keep the National Sales Manager (NSM) and Regional Sales Manager (RSM) informed of the status.
Internal Communication
Maintain regular communication with other departments' assistants to provide all required data and updates.
Act as a liaison between the sales team and other departments to ensure smooth operations
Document Preparation
- Prepare documents approved by compliance, such as HCP/HCO request forms, car allowance forms, attendance sheets, and company belongings handover acknowledgment forms.
- Ensure all documents are accurately completed and submitted in a timely manner.
Office Supplies Management
- Requisition office supplies and ensure the sales team has the necessary materials and equipment to perform their duties.
- Monitor inventory levels and place orders as needed.
Communication Management:
- Manage incoming and outgoing calls and emails, ensuring prompt and professional responses.
- Handle correspondence and distribute information to relevant team members as needed.
Educational qualifications
A Bachelor's degree in Business Administration, or a related field is preferred.
Rrelevant Experience
- 2 - 3 years of salas assistant or administrative experience
- Experience in providing administrative support within a sales or marketing team, including handling logistics, coordinating meetings, and managing communications.
- ME experience would be an added advantage.
Skills & personal characteristics
- Saudi National in line with SFDA local regulations
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication and interpersonal skills.
- Experience in logistics coordination and meeting management.
- Ability to handle multiple tasks efficiently and work in a fast-paced environment.
- Previous experience in a similar administrative or sales support role is preferred.
