We are seeking a highly motivated Entry-Level Clinical Trials Logistics/Supply Assistant to support our clinical trials operations. The ideal candidate will be detail-oriented, proactive, and eager to contribute to the success of our projects. This role offers a unique opportunity to gain practical experience in the biotech industry while ensuring the smooth logistics of clinical supplies.

 

 

Key Responsibilities

  • Support project timelines and deliverables for key regional Clinical Logistics initiatives, ensuring that project milestones are met according to schedule.
  • Coordinate third-party logistics and liaise with project teams to facilitate effective communication, task completion, and achievement of project targets and deadlines.
  • Support the implementation of process improvement initiatives within the ClinOps Americas team, including SOP updates, training materials, and workflow enhancements to optimize operational efficiency.
  • Liaise with all necessary departments to help ensure a smooth and seamless process.
  • Prepare, review, and adapt presentations and relevant documents, such as internal guidelines, as required.
  • Maintain and improve SharePoint as a central source of information, including site structure, content updates, archiving, and related activities.
  • Provide administrative support for clinical projects within the Americas region, including document filing, meeting minutes, scheduling meetings, updating key documents, and related activities.
  • Perform other tasks as assigned by ClinOps.

 

 

Profile

  • Provides operational input and support to the Clinical Logistics Manager, as well as to other managers as needed. Works in a diverse, international, and complex environment.
  • Performs varied and complex administrative activities in support of clinical trial project management, including preparing and editing presentations, tracking invoices, and creating work orders.
  • Activities may involve exposure to confidential and sensitive information, requiring tact, diplomacy, discretion, and sound judgment.
  • Demonstrates solid organizational and project management capabilities, with the ability to manage changing priorities effectively.

 

EDUCATION & EXPERIENCE

  • Bachelor's degree in Pharmacy, a related health field, Administration, Logistics, or a related area.
  • Experience with clinical trial projects or clinical logistics/supply within biotech, pharmaceuticals, a CRO, or a related field.

  • Proven ability to work independently and effectively manage multiple priorities in a fast-paced environment.
  • Strong systems skills, with excellent proficiency in Office 365 and, preferably, knowledge of IRT systems.
  • Team player with the ability to take initiative and lead when needed.
  • Excellent interpersonal skills, strong organizational skills, and the ability to communicate effectively across all levels of an organization.
  • Strong written and verbal communication skills.
  • Proficient in written and verbal English.
  • Strong interpersonal skills, a can-do attitude, and solid problem-solving skills.
  • Able to multitask and meet compressed timelines.
  • Spanish language skills (plus)
