Payroll & HR Coordinator (UK & Ireland)

Key Responsibilities:
Payroll & Benefits Management (Ownership & Optimisation):
- Lead the end-to-end monthly payroll cycle for the UK and Ireland in collaboration with our outsourced payroll provider (ADP), ensuring all payroll changes are accurately captured, processed, and submitted within agreed deadlines.
- Act as the primary liaison with ADP, meticulously reconciling payroll reports and proactively resolving any discrepancies to maintain accuracy and compliance.
- Provide expert guidance and respond to all employee queries related to payroll and benefits in a timely and professional manner, ensuring high levels of employee satisfaction.
- Manage all payroll reporting, ensuring accuracy and adherence to defined timeframes.
- Drive strict compliance with all UK and Irish payroll legislation, including PAYE, National Insurance, pensions, and statutory payments, proactively identifying and addressing potential risks.
Data Management & Compliance:
- Maintain and ensure the integrity of employee data across all HR systems, proactively managing data change requests (e.g., personal information, job titles, hours) that impact payroll calculations, in full compliance with GDPR and data integrity standards.
- Oversee the entire pension auto-enrolment process, including the distribution of auto-enrolment letters, managing opt-out procedures, ensuring meticulous digital documentation, and diligently submitting contributions.
Group Assurances:
- Actively assist with the annual renewal process for Private Medical Insurance, Life Assurance, Income Protection, and other group benefits, seeking opportunities for optimization.
HR System Expertise:
- Leverage your deep understanding of payroll systems such as ADP (iHCM) and HRIS platforms like SuccessFactors for the efficient and compliant execution of salaries, deductions, and benefits across all entities.
HR Administration (Support & Management):
- Maintain and update the HRIS (including SuccessFactors) with precise employee information, ensuring data accuracy for both entities.
- Generate critical HR metrics and reports (headcount, turnover, absence data), providing actionable business insights to the HRBP and Head of HR.
- Create and maintain monthly organisational structure charts.
- Manage all aspects of onboarding by updating the HRIS with new employee information and creating digital personnel records.
- Oversee all offboarding procedures, including managing system access termination and providing employment references upon request.
- Ensure complete compliance with Home Office regulations, managing the Home Office Sponsor Management System and maintaining necessary records for all sponsored Migrants.
- Manage statutory leave processing for SSP, SMP, and SPP, ensuring all legal requirements are met and maintaining accurate holiday entitlement records for all UK/Ireland employees.
- Draft and distribute formal employee letters (e.g., contract variations, welfare meetings, disciplinary invites, pay increases), including employment contracts and variation letters.
Recruitment Administration (Future Growth Opportunity):
- Initially, provide robust support to the Head of HR and line managers in the recruitment and selection process, including interview scheduling and candidate liaison.
- Opportunity to progressively take on greater responsibility and ownership for recruitment activities as you develop in the role.
Learning & Development Support:
- Contribute to the execution of the annual training plan and provide administrative support for training and development initiatives.
General Responsibilities:
- Proactively monitor current processes and identify ways to continuously improve systems and efficiencies within HR and payroll.
- Maintain the highest standards of confidentiality and security for all documents and information related to the Company’s business and people.

Skills and Experience:
Educational & Professional Background:
- Proven experience in a dedicated Payroll and HR administrative role, demonstrating a clear ability to take ownership.
- Strong familiarity with UK and Irish employment legislation and payroll statutory requirements.
Hard Skills:
- Proficiency in Payroll systems (ADP iHCM preferred).
- Extensive experience with HRIS platforms (SuccessFactors/SAP preferred).
- Competent IT skills, including advanced proficiency in Microsoft Office (especially Excel, Word, and Outlook).
